Managing your post-holiday returns

The new year often brings a flood of returns for merchants. Here are some helpful reminders of the usual steps to follow when processing returns on a Visa card.

Electronic sales

  • Ensure that you are issuing the credit on the same card that was charged for the original purchase. This will reduce the risk of chargebacks for “nonreceipt of credit”

  • Verify that you are processing the merchandise return using the correct terminal key or code

  • Check that the amount owing to the customer is accurate. Also check that the transaction is successfully completed

  • Sign the electronic credit/ return receipts and provide your customer with a copy as proof of credit

  • Verify that all deposits (including credits) are correctly processed

Manual Sales

  • Ensure that all returns are clearly filled out using the credit Visa sales draft

  • Issue the credit on the same card that was charged for the original purchase. Taking this step will reduce the risk of chargebacks for “non-receipt of credit”

  • Make a clear imprint of the card to be credited

  • Clearly indicate the amount to be credited and, if possible, include the original purchase date for the item to be credited in the description field

  • As the merchant, you need to date and sign the draft, and give a copy to your customer as proof of credit

  • Ensure that all credit drafts are deposited within three business days of being issued so the credit can be posted in a timely manner against the customer’s account

  • Double check that all deposits (including credits) are processed correctly

Beware of phony suppliers

Merchants are advised not to place an order with anyone who calls claiming to be a paper supplier. Instead, initiate the order and place the call yourself to ensure you’re dealing with a reputable dealer. Where to turn for help

The following information is available to merchants by calling, toll-free, 1-800-363-1163.

  • Authorization. Electronic and voice authorization – available 24 hours a day.
  • Suppliers. Names and phone numbers of authorized electronic printer paper suppliers, along with a number for ordering supplies for manual Visa stationery. These suppliers are normally available from 9:00 a.m. to 5:00 p.m. EST.
  • Getting help. The Point-of-Sale Help Desk – available 24 hours a day for merchants experiencing hardware, communication, or reconciliation issues with their point-of-sale systems.
